Importing a Panel into the Library

  1. Click on the Panels tab.Image:Panels_tab.png
  2. Make sure you are in the Panels section (referring to the button within the gray bar across the top).

  3. Click the "Create New Panel" button on the right side of the page.Image:Create_New_Panel_button.png
  4. You will be asked to assign a Category.
    • This is optional. You can select a pre-existing category from the dropdown, or create a new category by typing directly into the text field.
  5. Give your panel a name, and click Create.

  6. You will be taken to the Panel Members page.
  7. Click the Import/Update Panel Members button.Image:Import_and_Update_Panel_Members_button.png
  8. Click the Import from File button (the panel you just created should already be selected).

    • For an example panel spreadsheet file to follow, click on the "Example" icon.

  10. To select the saved CSV file on your computer, click Browse.
    • Find the CSV file on your computer and select it.
      • CSV stands for "Comma Separated Values" and is a format that Microsoft Excel and other spreadsheet programs can natively Save As, as well as open.
  11. Your panel, as set up in the Excel spreadsheet, will be displayed. Now you can verify the fields to make sure that the headings are appropriately placed. You can change the field on a column by selecting the drop-down menu. If you are not importing any of those fields, then select "None" at the bottom of its corresponding dropdown menu. For the First Name, Last Name, Email, and External Data Reference fields, you will need to select the corresponding column from your CSV spreadsheet using the dropdown menu in the middle of the window. The External Data Reference can be used if you want to associate an ID with each panel member with an ID outside of the Qualtrics system (in your own database, for example). If you do not need this, are using an embedded data field instead, or do not know what it is, then select "None".

  12. When you have everything selected and lined up correctly, click the Import button at the bottom of the Import Panel Members window.
  13. After the system has processed your list, you will be taken to a screen that appears like the image below.

  1. Select the close button at the bottom right of the screen. You will then see your uploaded panel.

Troubleshooting
<i>If you are having trouble importing your files...

  • Double check and make sure your file is a ".CSV" file and not a ".xls" or other file extension.
    • Qualtrics will only import .CSV files.
      • In Excel 2003, click File -> Save As. Scroll through the list of file extensions until you find "CSV (Comma delimited)(*.csv)".
      • In Excel 2007, click Office button (top left) -> Save As -> Other Formats -> in the "Save as type" dropdown select "CSV (Comma delimited)(*.csv)".
  • If your list is quite large, try breaking it up into smaller lists and uploading them separately. Multiple lists can be uploaded into the same Qualtrics panel.
    • A 100,000 person list will more easily upload if broken into five 20,000 person lists due to the smaller file size and less information to process
    • If you have a lot of embedded data in your list (an extra 100 columns for example), then you might need to break a large list into chunks smaller than 20,000. Consider trying 15,000 or 10,000, or smaller if necessary.
