Results Import

[edit] Items you will need

  1. A survey in your account to import into (it is best if it is identical to the survey you are getting the data from).
  2. Example Response Import file.
    • Go to View Results -> Edit Results for the survey you will import into.
    • Click Import button and click the "Example" icon to get the Example Response Import File
  3. Make sure you have your data file available and ready for import.
    • In Qualtrics, get the data file by going to View Results -> Download Data and downloading the CSV file for the survey currently containing the data.
    • In other survey systems, follow directions for downloading survey data from the results area. The data needs to be in CSV (Comma Separated Values) format, which is a “.csv” file extension.

  1. Open the Example Response Import file and the data file in separate Microsoft Excel windows, or an equivalent spreadsheet program.
  2. Using the Example Response Import file as your template, make sure your data file's columns match up to the Example Response Import file's columns.
    • Remove the first five columns from the data file.
    • You'll notice the Example Response Import file starts at the Start Time column. Response Ids will change upon import, Response Sets, Names, External Data References, and Email Addresses cannot be imported. If you want to keep any of this data, create an open-ended text question (form entry is typically the best for this) in the survey you will import into and re-download the Example Response Import file to get an updated version of the import template.
    • Note: If the survey you get the data from is equivalent to the one you are importing the data into, then after you remove the first five columns, you can just copy and paste the row headers from the Example Response Import file (the first two rows) into the first two rows of your data file.
    • Make sure you save your data file with the changes you have made. It must have the “.csv” file extension.

  3. Import your data into the survey.
    1. On the View Results -> Edit Results page for the survey you will import into, click the Import button.
    2. Using the Browse button, find the data file on your computer.
    3. Click the Upload button.
  4. The window will confirm how many responses you will be importing before you click the Import button.

    • If the number of responses shown does not match the number you have in your data file, then do not click the Import button. It will not import correctly and you will need to Delete the bad data from the Edit Results section
    • Try deleting the contents of the first row (the one that contains the question text), but leave the row itself there. Try importing again. (A CSV file is a text file, and your first header row is causing problems with the import because of all the characters possible from the question text.)
