The My Surveys Page

Users start on the "My Surveys" tab. When this tab is selected, you will see a list of all the surveys in your account. Surveys created in your account appear under the heading "My Surveys." If your account includes surveys that have been shared with you by other users, a section titled "Shared Surveys" will appear below the "My Surveys" section. You may also choose to display only one of these two sections by using the subtabs "My Surveys" and "Shared Surveys." Each Survey in your list is accompanied by eight buttons: 1. Edit 2. Results 3. Send 4. View 5. Sharing 6. Copy 7. Delete 8. Activate/Deactivate (Toggle)

Edit

The only difference between using this button and using the tab is that the button will open the editor for the survey next to it while the tab will either require you to choose a survey to open, or open the survey you have already been working on.

Results

Send

Image:send.jpg This button will take you to the "Distribute Survey" tab. The only difference between using this button and using the tab is that the button will open the distribution page for the survey next to it while the tab will either require you to choose a survey to open, or open the survey you have already been working on.

View

Image:view.jpg Clicking on this button will allow you to see and take the survey as a regular respondent would. If you complete the survey, your responses will be saved as survey data. You may remove your responses on the View Results > Edit Results. The words "Survey Preview" will appear in the "Respondent" column for this result.

Collaborate

Image:Collaborate_icon.jpg Clicking on this button will allow you to share this survey with others. We recently upgraded our software so now users can share surveys with non-Qualtrics users. If this link doesn't appear or if you are unable to share with a non-Qualtrics user, you may not have sufficient permissions on your account. If so, your brand administrator can upgrade your account.

Sharing a survey allows you to give others access to a survey at a level you specify. You will be asked to select the user to share the survey with. If the individual is a Qualtrics user, type in their username. If they are not a Qualtrics user, type in their email address. A screen will then appearing asking you to create an email message to be sent to them. You will also be given a set of permissions that you can turn on or off for the person you‘re sharing with. For instance, you can set up the permissions so the individual is able to view the results but unable to deactivate the survey.

When you share a survey with someone who does not have a Qualtrics account, an email containing a link is sent to their account. When they access this link a trial account is automatically generated for them. Although they'll have limited permissions, they will be able to see the survey you shared with them. They'll be asked to provide their name and a password for their account.

Copy

THIS OPTION SHOULD NOT BE CONFUSED WITH "SHARING." If you are part of a larger brand, copying a survey into another account releases your control over that survey—the person you send it to will have complete access and control over that copy. To share a survey without granting that level of access, see "SHARING". This button will create a duplicate of your survey. Clicking on the button will bring up a window with two options:

  1. "Create a working copy of this survey with a different name or copy this survey to another account". You will be asked to name the new survey copy, and specify its destination from a drop-down list. This option will give you an identical copy that can be edited and changed without altering the original survey.
  2. "Copy this survey to the library". You will be asked to choose a library (if you are not part of a larger brand, the library on your account will be your only option). You will also need to name the survey, and create a category to place it in. If you have already copied other surveys into the library, you may choose the categories you created for them.

Copying a survey to a library creates a template for future use. Surveys in the library may not be altered or edited. To edit a survey in the library, copy it back into your account.

Delete

Image: delete.jpg This button will permanently delete the survey. A window prompting you to enter your account password will pop up and must be filled out before the survey can actually be deleted.

Activate/Deactivate (Toggle)

Image:toggle.jpg This button (located on the left hand side of the page) toggles the survey‘s status between "active" and "inactive." Inactive surveys cannot be distributed or taken. The main purpose of this functionality is to allow you to close your survey when you have collected sufficient data. Simply deactivate the survey to disallow any more responses. When you deactivate a survey, all partial data will be recorded. This means that any half-finished surveys, which the respondent could have potentially completed at a later time, will be closed, and the data from the questions they did answer will be recorded. The secondary tab "Survey Options" underneath the "Edit a Survey" tab has additional options relating to inactive surveys, such as the message displayed to respondents who try to take an inactive survey, a survey expiration date, etc. When you deactivate a survey distributed through the mailer, all links for that survey automatically expire. If you desire to re-activate and allow those people from your mailing who never took the survey to do so, you must re-send the survey to those people.

Message Center

This service allows Qualtrics users to communicate with each other within the Qualtrics system. Also, users receive updates and new information from Qualtrics programmers.

Folders

The My Surveys page features a folder system that can be used to organize and group surveys currently in your account. To use the folders feature simply click the manage folders link located under the gray toolbar. A pop-up will open, and a list of all your surveys will appear. Within this list you can rename a preexisting folder, create a new folder, or assign surveys to a specific folder.
