About Types of XM Directory Datasets

Before you can report on XM Directory data, you need to go to Directory Settings, then Dashboard Setup. Here, you can publish whichever type of XM Directory data you'd like to report on. However, there are a few different types of dataset you can publish, all with distinct use cases.

Types of XM Directory Datasets

There are 4 distinct types of directory data that can be mapped into a dashboard. 

  • Contact data: Contact data refers to the core information stored about each individual in your XM Directory. This includes demographic details (e.g., name, email, age, gender, location) and preference information. This is where you'll find a contact's embedded data. Each record in this dataset is an individual contact, identified by a contact ID.
  • Transaction data: Transactional data is similar to embedded data, however, it allows you to record multiple values for the same field without overwriting historical values. For example, saving a customer's satisfaction rating back to their profile every time they interact with your support team. You must have existing transactions in your directory to use this kind of data.  Each record in this dataset is an individual transaction, identified by a transaction ID.
  • Contact segment membership data: Segment membership data tells you which contacts belong to each of the segments created in your directory. Each record in this dataset is an individual contact's assorted segment memberships, identified by a contact ID.
  • Respondent funnel data: The XM Respondent Funnel has information on distribution history. For example, track open rates, if and when contacts unsubscribed from mailing lists, when distributions were sent, and more. Each record in this dataset is an individual distribution sent to an individual contact, identified by the combination of a distribution ID and a contact ID.

These datasets can vary in what overlapping information they contain. For example:

  • Most of these datasets have the contact ID saved in some form.
  • The respondent funnel dataset can have both contact and transactional data. See Enabling Additional Fields.

Steps to Enable XM Directory Dashboard Data

Qtip: You must have the Manage Directories and Use Directory Data for Dashboards user permissions will be able to complete the steps below.

Select Directories from the global navigation menu.
 

If given the option, select XM Directory (Contacts).

If you have access to multiple contact directories, choose a specific directory.

Qtip: Each directory's datasets have to be published separately.

Go to the Directory settings tab.

Select Dashboard setup.

Scroll to the dataset you want to publish:

  • View contact data in dashboards
  • View transaction data in dashboards
  • View contact segment membership data in dashboards
  • View respondent funnel data in dashboards

Click the button. Its name may vary, e.g., Enable Dashboard, Publish dataset, or Give me access.

After the directory dataset is enabled, you can click Change fields change the available fields.

Now when you create a dashboard dataset and add a data source, you can select this directory data.
