Introduction

Beyond just surveys, Qualtrics stores other useful content you upload such as survey invitation messages and images. This additional content is stored within a Library.

Most Library content is found in the Library tab of Qualtrics. When you first go there, you will be viewing items in My Library. This is a Library created exclusively for you, where content you create will be stored for future access. Your personal Library content is available for you to view, edit, copy, and use in any of your surveys.

In addition to My Library, many organizations choose to set up User Groups to facilitate content sharing. For each Group you are a member of, you will see an associated Library where you can access content shared by all Group members. You may also see a Qualtrics Library, full of example surveys and other content, which you are free to use in your research.

Example: Use a Group Library to quickly share images, files, and surveys with your whole research team.

Depending on the specific permissions of the Group, you may also be able to view, copy, edit, and use content in the Group Library.

Qtip: If you would like to edit, copy, or use Group Library content but are currently unable to do so, it may be because of the Group settings. These settings can be altered by your Qualtrics Administrator.

To toggle between your personal Library and a Group Library:

  1. Within the Library or Panels tab, click the Library dropdown on the top left of the page.

  2. Choose a different Library from the list.

Library Overview

The first section in your Library tab shows you an overview of all the content in all of your Libraries. In the Library Overview you can view how many categories and items you have in each section of each Library.

Survey Library

If you use similar surveys repeatedly, Qualtrics can store templates of these surveys in your Library for later use. The survey Library also contains survey templates from any Group Libraries that you have access to.

Save a survey to your Survey Library to use as a template for future surveys.

To copy a survey to a Library:

  1. In the Library tab, open the Survey Library section.

  2. Click Copy a Survey to this Library.

  3. Choose the survey you want to copy from the Source Survey list.

  4. Specify the Survey Name for the survey that will be saved in the Library. Optionally, you can also specify a Category if you would like to organize your Library surveys into categories.

Survey Library Options

For surveys in your Library you can perform the following actions:

  • View: View a preview of the survey template.
  • Options: Edit the name and category of the survey template.
  • Qtip: Assigning categories to the surveys in your Library is a great way to keep things organized!
  • Copy: Copy the survey template to your account, or to a Group Library.
  • Delete: Delete the survey template from the Library.

To use a survey from a Library:

  1. Click the Create Survey tab, or click Create Survey in the My Surveys tab.

  2. Click Survey Library. Survey Library
  3. Choose the Library from which you want to pull the survey:
    • My Library: Choose from one of your own surveys.
    • Group Library: Choose a survey owned by a User Group.
    • Global Library: Choose from surveys within the Qualtrics Library.
  4. Choose the category, if applicable, and then choose the specific survey that you would like to copy. SurveyLibrary_1

Once you’ve followed these steps, you will be taken you to the Edit Survey tab where you can begin editing your survey.

Question Library

In addition to saving entire surveys, individual questions can also be archived in a Library.

Example: Save a commonly used question to your Question Library to use in future surveys.

To copy a question to a Library:

  1. In the Library tab, open the Question Library section.

  2. Click to Copy a Question to this Library.

  3. Select the Source Survey where your question is located, followed by the Source Question.

  4. Specify a Description for your question, and optionally, a Category if you would like to keep your Library questions organized into categories.

  5. Click Copy.

To use a question from a Library:

  1. In the survey editor, scroll down to the bottom of the question block to which you would like to add the question and click Copy Items From.

  2. Select the Library you would like to copy the question from.

  4. Select the category and question(s) you would like to copy into your survey.

Block Library

Copy an entire block of questions to your Block Library. Blocks are a useful way to organize groups of questions that go together.

Example: Save a block of commonly used questions, like Demographics, to your Block Library to use in future surveys.

To copy a Block to a Library:

  1. In the Library tab, open the Block Library section.

  2. Click Copy a Block to this Library.

  3. Select the Source Survey where the block is located, followed by the Source Block.

  4. Specify a Description for your Block, and optionally, a Category if you would like to keep your Library Blocks organized into categories.

  5. Click Copy.

To use a Block from a Library:

  1. In the survey editor, scroll down to the bottom of the question block to which you would like to add the question and click Copy Items From.

  2. Select the Library you would like to copy the question from.

  4. Select the category and blocks(s) you would like to copy into your survey.

Graphics Library

The Graphics Library is used to store any images you have uploaded into Qualtrics.

Example: Store images in your Graphics Library to use as survey headers or within survey questions.

To add a graphic to a Library:

  1. In the Library tab, open the Graphics Library section.

  2. Click Upload a New Graphic.

  3. Qtip: In newer web browsers, rather than clicking Upload a New Graphic, you can upload images automatically by dragging files off your desktop into the Graphics Library area.
  4. Click Choose File if the graphic is stored on your computer, or click Use a graphic from the web. if the file is stored online.

  5. Select the file from your computer, or copy and paste in the image URL.
  6. Enter a Description for the graphic. Optionally, add the graphic to a Category.

Qtip: You can upload JPG, PNG, and GIF files into Qualtrics that are 16MB or smaller.

To use a graphic from a Library:

  1. In any Rich Content Editor within Qualtrics, click the Insert Image icon.

  2. Click on the image you would like to use, or select Upload a New Graphic to upload a new a graphic to your Library.

Files Library

The Files Library is used to store any non-image files have uploaded into Qualtrics. These files can be attached to a survey for participants to download, or simply stored within your Library for future reference. You can upload non-executable files up to 16MB in size.

Example: Store security or consent forms in your Files Library for respondents to view or download during your survey.

To add a file to a Library:

  1. In the Library tab, open the Files Library section.

  3. Click Choose File and select the file from your computer.

  4. Specify a Description for the file. Optionally, add the file to a Category.

To use a file from a Library:

  1. In any Rich Content Editor within Qualtrics, click the Insert File icon.

  2. Click on the file you would like to use.

When you import a document file into your survey, a link will be inserted into the text that participants can click on to download the file.

Message Library

The Message Library holds all messages used for your surveys, such as Invite Emails and End of Survey messages.

Qtip: Each time you make a message in Qualtrics, like an Survey Invite Email or Custom Validation Message, it will be saved in your Message Library.

To create and use messages:

  1. In the Library tab, open the Message Library section.

  2. Click Create a New Message.

  3. Select a message category and specify a name for your message.

  4. Type the message content as you want it to appear.

  5. Qtip: Use the Rich Content Editor to change the size, color and format of your text.
  6. If you’d like to enter HTML directly, click the Source icon in the Rich Content Editor.
